Automation solution
Apex Admins delivers document automation in Australia for businesses buried in paperwork. AI reads invoices, forms, applications and contracts, extracts the data you need, checks it against your rules and files it in your systems, while our team reviews exceptions so accuracy stays high.

The basics
Document automation covers two jobs: reading documents that come in and producing documents that go out. AI-powered extraction turns invoices, forms and contracts into structured data, and generation creates proposals, letters or reports from templates and your data.
The key to reliable document automation is validation. We check extracted data against rules and source systems, send uncertain cases to a person and keep a log of every document processed.
It is one of the managed solutions we deliver as an AI automation agency in Australia, combining AI, automation and trained people.
How it works
We review real examples and the data you need from them.
We agree validation checks and exception handling.

Guide
Invoices, applications, referral forms, contracts and receipts still arrive as PDFs, scans and email attachments in most Australian businesses. Someone then reads them and types the details into another system. Document automation removes that rekeying, but reliability depends on careful design. This guide explains how to get accurate results you can trust.
Look for documents that arrive in high volume, follow a reasonably consistent structure and feed a downstream system. Supplier invoices, receipts, application forms, referral letters and standard contracts are common candidates.
Gather a representative sample of real documents, including poor scans and unusual layouts. The sample tells us which fields can be extracted reliably and which need extra validation or human review. It also gives us a test set to measure accuracy before launch.
Modern extraction combines optical character recognition for scans with language models that understand layout and context. Instead of relying on fixed templates, the AI can identify an invoice number, a due date or a line item table even when suppliers use different formats.
Each extracted value comes with a confidence level. High-confidence results flow straight through, while low-confidence fields are sent to a person to check. That balance gives you speed on the easy documents and accuracy on the hard ones.
Extraction alone is not enough. Validation checks whether the data makes sense: line items add up to the total, GST is calculated correctly, an ABN has the right format and matches the supplier record, dates are plausible and required fields are present.
Cross-checking against your systems adds another layer. An invoice can be matched to a purchase order, a referral to an existing patient record or a contract to a client in the CRM. Mismatches become exceptions for review rather than silent errors.
Document automation also works in the other direction. Proposals, engagement letters, reports and contracts can be generated from templates using data from your CRM or forms, with AI drafting tailored sections where appropriate.
Keep templates under version control and define who must approve each document type. Generated documents can then be sent for signature through tools such as DocuSign and filed automatically once signed.
Documents often contain personal, financial or health information. Process them in systems you control, restrict access to the minimum needed and keep an audit trail of who viewed or changed each record.
Set retention periods that match your legal obligations, such as tax record requirements, and the Australian Privacy Principles. Delete working copies once data has been extracted and filed, rather than letting duplicates accumulate in inboxes and shared folders.
Measure field-level accuracy on your test set before launch, then track it in production using the corrections made during human review. Track processing time per document, exception rate and backlog at month end.
The most meaningful number is often staff time redirected. When people spend their time resolving genuine exceptions instead of typing, both accuracy and job satisfaction tend to improve.
Supplier invoices arrive in a dedicated inbox in different formats. Each is read automatically, the supplier, ABN, invoice number, dates, line items and GST are extracted and the totals are checked. Invoices that match a purchase order and pass validation are prepared for approval in the accounting system.
Invoices with mismatches, such as a total that does not add up or an unknown supplier, appear in a review queue with the problem highlighted. Month end becomes a matter of resolving a short list of exceptions rather than typing hundreds of invoices.
Which documents consume the most staff time? Where does the data need to end up? What checks do staff perform today when reviewing a document? What retention rules apply? Who approves exceptions? The answers define the extraction fields, validation rules and workflow.
If you process only a few documents a week, or each document is unique and requires interpretation, the setup effort may outweigh the benefit. In that case, a simpler improvement, such as a structured form that captures data at the source, may be more effective.

Many documents in other languages can be processed, depending on the language and document quality. We test a sample during discovery and confirm expected accuracy before committing to scope.
Data is filed in your systems and the original document is stored according to your retention rules. Temporary working copies are removed so sensitive files do not accumulate in inboxes or shared folders.
