Automation solution
Apex Admins builds lead follow up automation for Australian businesses that lose enquiries to slow responses. Every new lead is captured, qualified by AI, routed to the right person and followed up automatically by email or SMS, so no enquiry sits unanswered in an inbox.

The basics
Lead follow-up automation connects your lead sources to your CRM and communication tools so every enquiry is acknowledged, assessed and followed up without manual effort. It closes the gap between someone showing interest and your team responding.
Speed matters because buyers often contact several providers at once. An immediate, relevant reply and a reliable follow-up sequence keep you in the conversation while your team prepares a proper response.
It is one of the managed solutions we deliver as an AI automation agency in Australia, combining AI, automation and trained people.

Guide
Australian businesses spend heavily on ads, websites and listings to generate enquiries, then lose a surprising share of them between the form submission and the first reply. Lead follow up automation protects that investment. It is rarely about clever technology. It is about making sure every enquiry is acknowledged, assessed and chased, every single time.
Start by listing every lead source: website forms, Google and Meta lead ads, property or industry portals, phone calls, live chat, email and referrals. For each one, note where the enquiry lands, who is notified and how quickly someone typically responds.
Most audits reveal at least one blind spot, such as a portal sending enquiries to an inbox nobody checks on weekends or ad leads sitting in a platform until someone downloads them. Fixing capture is often the quickest win, before any follow-up sequence is written.
When someone requests a quote or appointment, they are often contacting several providers at once. The business that responds first with something relevant has a natural advantage, simply because it starts the conversation while the need is front of mind.
An instant acknowledgement does not have to close the sale. It should confirm the enquiry was received, set expectations for the next step and, where possible, offer something useful such as a booking link or answers to the most common questions. That buys your team time to respond properly without losing the lead.
Not every lead needs the same treatment. Agree simple rules for what makes a lead high priority, such as service type, budget indicators, location or urgency words in the message. AI can read free-text enquiries and apply these rules consistently.
Routing then sends each lead to the right person or team, with an alert in the channel they actually watch. Include a fallback: if nobody claims a high-priority lead within a set time, it escalates to a manager. That single rule prevents many lost opportunities.
A good sequence mixes channels and adds value at each step. A typical pattern might be an instant acknowledgement, a personal follow-up later the same day, a helpful resource or case study a few days later and a final check-in the following week.
Stop the sequence the moment the lead replies or books, so nobody receives an automated nudge after they have already spoken to your team. Keep messages short, specific to the service they asked about and written in your voice.
Automated follow-ups are commercial electronic messages, so the Spam Act 2003 applies. Someone who submits an enquiry has generally given you a reason to reply about it, but ongoing marketing needs appropriate consent, clear identification of your business and a working unsubscribe.
For SMS, include opt-out instructions and honour them automatically. Store enquiry data securely and in line with the Australian Privacy Principles, especially when forms collect health, financial or other sensitive details.
Track response time, contact rate, booking or meeting rate and closed revenue by source. When this data lives in your CRM, you can see which campaigns produce customers rather than just form fills, and shift budget accordingly.
Review the numbers monthly. Look for sources with high volume but low conversion, steps in the sequence where engagement drops and periods, such as evenings or weekends, where response times slip. Each insight becomes the next improvement to the automation.
A buyer submits an enquiry through a property portal at 9pm on Saturday. Within a minute, they receive a personalised SMS and email confirming the enquiry, sharing the inspection times and offering a booking link. The enquiry appears in the CRM assigned to the listing agent, who receives an alert.
The buyer books an inspection on Sunday morning. On Monday, the agent opens the CRM to find the full history, rather than discovering the enquiry in an inbox days later. If the buyer had not responded, a follow-up would have been sent on Monday and again later that week.
Which lead sources produce your best customers? What does a good first response contain? Who should own each type of lead, and what happens when they are unavailable? How many follow-up attempts feel helpful rather than pushy in your industry? Clear answers make the automation feel like excellent service rather than marketing.
If enquiries are low because of weak marketing or an unclear offer, automating follow-up will not create demand. Equally, if your team cannot handle more conversations, faster responses may simply create a new bottleneck. We look at the whole funnel in discovery so automation solves the right problem.
