Last updated: 16 October 2026

Apex Admins ("we", "us", "our") provides AI automation, workflow automation and managed remote specialist services to businesses in Australia. We respect your privacy and handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what we collect, why, how we protect it and the choices you have.

1. Personal information we collect

We collect personal information that is reasonably necessary for our services and business activities, including:

  • Contact details: name, business name, job title, email address, phone number and location.
  • Enquiry and booking details: the information you provide when you contact us, book a strategy call or request a proposal, such as your business needs, systems and preferred meeting times.
  • Client account and project information: information needed to deliver an engagement, such as user accounts for your systems, workflow documentation and communications with your team.
  • Job applicant information: CVs, work history and referee details if you apply for a role with us.
  • Website usage information: pages visited, referring pages, device and browser type and approximate location derived from your IP address, collected through cookies and similar technologies (see our Cookie Policy).
  • Billing information: invoicing details and payment records. We do not store full card numbers on our website.

We do not intentionally collect sensitive information (such as health information) about website visitors. Where an engagement requires our team to access systems that contain sensitive information belonging to our clients' customers, we handle it only as instructed by the client and in line with this policy and our agreement with that client.

2. How we collect personal information

We collect personal information directly from you when you complete a form, book a call, email or phone us, apply for a job or work with us as a client. We may also collect it from your organisation, from publicly available sources such as business websites and LinkedIn, or from service providers that support our website and operations. If you do not provide information we request, we may not be able to respond to your enquiry or provide our services.

3. Why we use personal information

  • to respond to enquiries, schedule calls and prepare proposals;
  • to deliver, manage and improve our services, including automation, AI and specialist support;
  • to manage our relationship with clients, including invoicing and support;
  • to assess job applications and manage our workforce;
  • to send service updates and, where permitted, marketing communications;
  • to maintain the security and performance of our website and systems; and
  • to comply with our legal obligations.

4. Direct marketing

We may send you information about our services if you have consented or would reasonably expect it, in line with the Spam Act 2003 (Cth). Every marketing email includes an unsubscribe link, and you can also opt out at any time by contacting us.

5. Disclosure to third parties

We may disclose personal information to:

  • our team members and contractors who deliver services, under confidentiality obligations;
  • service providers that host our website and data, provide email, scheduling, analytics, CRM, automation and AI platforms, and payment processing;
  • professional advisers such as accountants, auditors and lawyers; and
  • government authorities where required or authorised by law.

We require our service providers to protect personal information and use it only for the purpose for which we provide it. We do not sell personal information.

6. Overseas disclosure

Part of our delivery team, including remote specialists and automation builders, is based in Pakistan. When they work on client engagements or support our operations, they may access personal information. Some of our technology providers may also store or process data in other countries, such as the United States and countries in Europe. Before disclosing personal information overseas, we take reasonable steps to ensure the recipient handles it consistently with the APPs, including confidentiality agreements, access controls and limiting access to what each person needs for their role.

7. How we protect personal information

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Measures include role-based access, multi-factor authentication where available, encrypted connections (HTTPS), documented procedures for handling client data, and secure deletion or de-identification of information we no longer need.

8. Data breaches

If we become aware of a data breach that is likely to result in serious harm, we will assess it promptly and notify affected individuals and the Office of the Australian Information Commissioner (OAIC) where required by the Notifiable Data Breaches scheme.

9. Access and correction

You may ask to access or correct personal information we hold about you by contacting us. We will respond within a reasonable time, usually within 30 days. If we refuse a request, we will explain why and how you can complain.

10. Complaints

If you have a concern about how we have handled your personal information, please contact us first so we can investigate. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au or on 1300 363 992.

11. Changes to this policy

We may update this policy from time to time. The current version will always be available on this page, with the date it was last updated.
